SiteStuff and Trammell Crow Company Partner to Save Sovereign Bank $560K

What would it take for your company to save $560,000? When the facilities team at Trammell Crow Company (“TCC”) wanted to help Sovereign Bank reduce its operating expenses, they turned to SiteStuff and its Bid Management Solution. Trammell Crow Company, one of the largest third party property and facility management firms, has been a client of SiteStuff, Inc. TM (“SiteStuff”) since 2000. SiteStuff is the leading procurement solutions company for the commercial real estate industry, helping property managers and owners save time and money with their building operations. By evaluating Sovereign Bank’s portfolio, TCC realized the greatest opportunity for savings was in janitorial services. With 550 branch locations throughout the Northeast, Sovereign Bank was spending
$3,500,000 per year to maintain these services.

SiteStuff presented a plan that would reduce costs by aggregating demand and rationalizing the bank’s janitorial contractor base, as well as simplifying the Request for Proposal (RFP) process for the facilities team. Using the Bid Management Solution, SiteStuff and TCC created an RFP for janitorial services. The RFP included a custom scope of work for each branch location using best practices templates inherent in the Bid Management Solution. Once the specifications were completed, TCC selected companies from the SiteStuff Contractor Database and electronically distributed the RFP information.

Several changes in specifications occurred during the bidding event. Using SiteStuff, TCC input new specifications and deleted old items, thereby automatically creating a new redlined version of the original RFP. This process also notified contractors automatically via email of the changes made.

The Results

The SiteStuff Bid Management Solution created a substantially improved process for bidding building maintenance services.

This process resulted in:

  • Contractual Savings of $560,000 over the course of two years
  • Consolidated janitorial contractor base by 60%
  • Reduced cycle time from 180 to 45 days
  • Enhanced services levels
