Project Sourcing: SiteStuff Delivers a Turn-Key Solution
SiteStuff and CB Richard Ellis partner to enhance a facility lighting system

CB Richard Ellis (“CBRE”), one of the world’s leading commercial real estate services firms, utilizes SiteStuff, Inc. (“SiteStuff”) for the procurement of maintenance, repair and operations (MRO) products and services for its portfolio and realizes the benefits of aggregation first hand. In a logical progression, CRBE looked to SiteStuff to deliver the same results for its large capital projects as it had for its MRO products and services.

A New Solution

The Project Sourcing Team analyzes the demand history of the SiteStuff client portfolio in order to forecast future purchases. Working with national and super-regional contractors, SiteStuff is able to provide a platform that aggregates large capital equipment purchases more efficiently, providing a powerful new resource for properties.

When Cypress Park West wanted a lighting retrofit performed on its property, the property team turned to the Project Sourcing Team at SiteStuff. “Working with SiteStuff simplified this project tremendously,” says Craig Grosby, Senior Real Estate Manager for the property. “They provided additional choices of contractors, organized the schedules and timelines, and verified the responses were like-for-like. Through SiteStuff’s oversight, my property saved over $40,000 on this project.

How it Works

SiteStuff evaluates the property’s completed project sourcing questionnaire, as well as any preliminary engineering work, in order to develop a draft Request for Proposal (RFP.) The draft RFP is submitted to the property for review and approval. Revisions are incorporated into a final RFP that is administered to approved contractors. Additionally, SiteStuff coordinates the contractor on-site visits.

Contractors submit their proposals to SiteStuff for review of thoroughness and completeness. SiteStuff then prepares an Executive Summary report that facilitates the owner approval process.

How Project Sourcing Helps Properties

  • Manages the RFP bid process using best practices
  • Provides access to SiteStuff’s qualified vendor partners
  • Qualifies proposals and checks pay-back estimates
  • Defines project installation schedules
  • Allows for group bidding on projects across multiple portfolios
  • Provides an Executive Summary report inclusive of project options

The Results

  • Saved $40,000 on the project
  • Managed the contractors through the proposal process
  • Provided greater choices by including additional contractors

Conclusion

“The additional support I received was terrific. There is no question that SiteStuff helped save my client money,” noted Grosby. “I would not hesitate using Project Sourcing whenever I have a project,” said Grosby.
